Our client, based in Stormont s looking for an Admin Officer to join their team
Job Description:
– Phone
- To manage Freephone service and General Office enquiry phones, dealing with all calls promptly and professionally and registering any notifications on the PO database and in Content Manager.
- Putting into action protocols for dealing with calls from individuals in custody when appropriate and recording all actions taken and updates.
- Foreign National Prisoners (FNP) use of the Freephone – via interpreter by conference call.
Investigation support
- To make necessary eligibility enquires and support the assessment process.
- To register notifications and prepare electronic case files. Also to note and/or link any previous similar recommendations/reports on new investigation files.
- Prepare and send eligibility letters, make initial enquires of the Prison Service and SEHSCT requesting information, such as CCTV, policy, medical notes and records and other documentary requests.
- Make requests for information as directed by Investigating Officers and/or the Prisoner Ombudsman
- Minute case conferences and other meetings as required.
- Run B/F report monthly, chase up outstanding reports and finalise reports as required.
Factual Accuracy and Recommendations Tracking
- Issue Investigation Reports/Letters to the relevant establishment via email.
- Maintain management investigation spreadsheets
- Record recommendations on PO database and the Recommendations Tracking spreadsheet.
- Track implementation of recommendations by the Prison Service and SEHSCT as appropriate by requesting monthly updates from establishments and HQ on any outstanding recommendations.
- Issue final letters/reports – BF for any comments received.
Finance
- Create Purchase Orders, maintaining supplier details, processing and receipting invoices on Account NI
Premises
- Act as Deputy Premises Officer including meter readings, logging maintenance calls and liaison with Concerto, Estates Branch H&S and Contractors as required
Other Duties
- Arranging translation or interpreting services.
- Preparing Disclosure for approval to issue to the Coroner
- Assisting with completion of record retention and disposals schedules
- Monitor stationery levels
- Monitor and update telephone contact lists
- Keep library and library lists up to date with all relevant documentation/publications.
- Additional ad hoc duties as required.
Wage:
– £11.99ph (weekly)
Essential Criteria:
– 5 GCSEs Including Maths & English (Must have certificate Proof)
Location:
– Unit 2 Walled Garden, Stormont Estate
Start Date:
– ASAP
Duration Of Placement:
– 6 months (with possibility of extension)
Work Pattern:
– 9 to 5, Monday to Friday. The post is full time onsite and unsuitable for hybrid working

– 37
