Our client, based in Knockbreada is looking for an Admin Officer to join their team.
Duration: Until posts can be permanently filled
Rate of pay: £11.70 per hour
Location: Knockbreada
Hours: Monday to Friday 9am to 5pm
Start Date: ASAP
Main Duties Include:
Assisting the Senior Officer with detailing/rostering of staff groups through use of Computerized Movement Planning and Status System.
To maintain positions and their relationships within the organisation structure to allow for deployment of staff within the establishment.
To transfer staff to other groups and add shift patterns as necessary.
Complete checks on travel, over-time payments etc.
To process payroll for discipline/uniform staff.
To respond to user queries and problems on a daily basis.
To log problems which cannot be resolved locally with the Helpdesk and act as a contact for the user and helpdesk.
Ensure system security policies are observed and reported to the Helpdesk Manager.
ROSTERING ADMINISTRATION
To oversee the smooth and efficient running of the rostering system.
To build the weekly detailing plan for Day Managers and Senior Officers.
To support the organisation of emergency hospital escorts.
To audit and manage the overtime budget in partnership with the CDO SO.
To maintain the Qualifications Catalogue
To refresh and manage preference listings.
To roster and provide COMPASS support for specific groups within the establishment.
To forecast and manage the introduction of new recruits into system and group management.
AUDIT
To carry out regular audit checks on each group within Hydebank Wood
To undertake a 25% audit check of Additional Emergency Hours payments on a monthly basis.
To authorise payments prior to pay run in conjunction with the Head of Management Support Services
To investigate audit anomalies and to provide correction in liaison with Efficiency Support Unit
REPORT MAINTENANCE
To produce a range of reports and statistical information for organisation management, rostering maintenance for Senior Management and Pay Branch.
To develop ad hoc reports to meet the need of the establishment and the requests of the Governor.
TRAINING
To deliver and manage training objectives set by the Deputy Governor and Prison Service College.
ADMINISTRATIVE SUPPORT/ GENERAL
Provision of cover for other administrative posts within the business area as necessary.
Any other duties as required.
Essential Criteria:
5 GCSEs including Maths and English or Level 2 equivalent – proof required
