We are currently recruiting for 2 AO’s based in the Belfast City Center. The successful candidates will be required to start once the vetting paperwork, ANI clearance has been completed.
Start date: ASAP
Duration: up to 6 months
Rate of pay: £11.99
Hours of work: Full time 37 hours
The contracted hours are 9am-5pm Monday- Friday.
This is an AO post which provides administrative support.
Job Description including Main Duties / Purpose of Job/Function of Role End to end processing employer and participant applications for JobStart 2 using Excel Spreadsheet databases.
- The process includes: –
Recording and maintenance of detailed information on databases
Management of Content Manager records for all employers and participants
Extracting the online employer applications from Citizen Space
Assessment of the applications using a checklist to populate a decision template.
Issue of acceptance or rejection letters to employers
Populate and issue Letter of Offer (legal document) with bank details form and information packs to employers, monitoring their return and issue of follow-up reminders if necessary.
Acknowledge receipt of Letter of Offer and issue of Vacancy details form via Citizen space to Employers. Monitor responses and follow up if required.
Preparation and upload details of job opportunities to JobApplyni and follow up when required to re-advertise vacancy.
Processing of bank account details forms on Account NI
Administrative support in gathering management information from ELMS and UCFS to check for eligibility of participant
Issue of Start notification hand offs to Jobs & Benefits Colleagues in 35 offices
Assessment and approval of Training plans for each participant
Creation of monitoring reviews “To-do’s” on ELMS system and follow up with Work Coaches
Conducting monitoring reviews with employers (up to 3 per employer per participant)
Conducting monitoring reviews with participants when required (up to 3 per participant)
Processing of payments to employers on Account NI for start-up grants and monthly payslips
Administration of ad-hoc enquiries from employers and Work Coaches by email
Issue of evaluation surveys to young people/employers and monitoring their return - Collation of outcomes and destination data for each participant
Day to day management of the JobStart team Mailbox
Other administrative duties as required
These roles are full-time. All training will be provided.
Full attendance is required for the first 8 weeks due to mandatory training and consolidation with no leave permitted.
Essential Criteria applicants must have:
- English and Maths at GCSE Grade C or equivalent
( Proof of certs required )
- Administrative experience desirable.
- Excellent IT skills, including use of Microsoft Word and Excel.
- Excellent communication skills.
- Proven ability to use own initiative.
