Our client, a leading public sector organisation, based in Belfast are looking to recruit a Communications Administrator to join their team.

The role is available asap for 3 to 6 months

Hourly Pay: £11.70

Monday – Friday, 9am – 5.15pm.However due to the nature of the position, there may be a requirement to work outside normal working hours.

Key Responsibilities:

· Assist with the preparation of project documentation relevant to the work of the Unit.


· Ensure that filing systems are maintained and updated regularly, including the management of both manual and computerised data and ensuring that Unit records are maintained, managed and stored in accordance with Tourism NI’s policy including the use of record management systems including Microsoft Teams, Dynamics 365 and SharePoint and General Data Protection Regulations (GDPR) requirements.


· Work with the Team and Finance Unit in managing and maintaining budget records and accounts as required using the Tourism NI Dynamics 365 Finance system.


· Administer all incoming and outgoing correspondence using the required systems including letters, e-mails etc.


· Provide administration support across the team, including, but not limited to, organising meeting times and rooms, typing and circulating agendas and relevant papers, attending meetings to take minutes and other related duties as requested.


· Prepare statistical reports using Excel, for project employees within the Unit. This will include the gathering of information from a variety of sources and collating it on time and in a meaningful style.


· Monitor press coverage and news articles and distribute to relevant Managers and Senior Management Team.


· Supply information to external agencies, to provide monthly PR evaluation reports and maintain internal records.


· Distribute press releases to media and keep distribution list up to date.


· Assist with the corporate social media account, and source images and other material for publications, press releases etc.


· Assist with the preparation of powerpoint presentations.


· Take calls from journalists, log enquiries and ensure they are passed on to the appropriate Communications employee(s).


· Book photographers for press release photos, brief them on the subject and assist with photocalls.


· Provide support at Tourism NI events as required.


· Provide administrative support for the completion of quarterly reports, Departmental/Ministerial queries and briefing documents.


Essential Criteria:

  • i. 5 GSCE’s at Grade A-C to include English Language and Mathematics or equivalent. (Certs required)




    ii. 2 years’ experience of working in an administrative role in an office environment including dealing with confidential material.




    iii. 5 years’ recent experience working in an administrative role in an office environment.
