Job Title: Office Manager

Location: Tiverton

Salary: £30,000

Hours: Full time Monday – Friday

Our very well established client in Tiverton have an exciting opportunity for an Office Manager to join their team on a permanent basis.

■ The essence of this role is to effectively manage the running of the office, to apply initiative to effectively support the business ensuring continuity and effective communication for the Sales Office to operate efficiently.

■ To assist the Managing Director & Sales Directors in all aspects of administration including the typing of all correspondence and sending emails on their behalf.
■ Ensure the smooth running of the office on a day to day basis.
■ Oversee company IT requirements including and not exhaustive to, new starters, equipment, maintenance, upgrades, phone system, security system and mobile
■ Oversee data responsibilities including GDPR.
■ To check travel, hotels and car hire arrangements, as requested.
■ To assist in the preparation of Quotations and Confirmation of Orders.
■ To arrange the shipping of machines and their relevant paperwork, including printing of manuals.
■ Assist running of company ISO system including internal and external audit maintenance.
■ Oversee and assist running of Company Paperless system
■ Maintain personnel files and oversee and assist day to day HR requirement including holiday and sickness allocation.
■ Oversee filing and maintenance of the Company filing system.
■ Electronic Contract filing for ISO9001:2015
■ Invoicing of home and export machines in liaison with Sales Department and Company Accountant.
■ Assistance to the Company Accountant covering builder tracker/customer invoices.
■ Preparing machine import/export documentation and relevant VAT/Duty documents required by HMRC.
■ Preparing CE Certificates.
■ Preparing credit notes for sales adjustments and commissions, as instructed.
■ Support of Sales, spares Department invoicing when needed – ie, holiday/sickness.
■ To assist and organise exhibitions.
■ To assist with the opening and distribution of Company post.
■ To assist with the answering of external/internal telephone calls as required;
■ Adhere to all H & S procedures and practices.
■ Adhere to good housekeeping practices.
