Admin Support – Catering Department

Location: Newry
Pay Rate: £12.51 per hour
Hours: Monday – Friday 8am – 4pm (may include weekends)
Start Date: Immediate, temporary ongoing

Role Overview

We are seeking an experienced and highly organised Admin Support professional to join our busy Catering Department in Newry. This role is ideal for someone with excellent administrative skills, strong attention to detail and the ability to support the efficient day‑to‑day running of catering operations within a healthcare environment.

Key Duties & Responsibilities

  • Perform routine administrative tasks such as filing, photocopying, scanning and printing
  • Use Microsoft Office applications (Word, Excel, Outlook) confidently and effectively
  • Manage incoming and outgoing telephone calls, taking appropriate action and following up when required
  • Maintain and update databases within the Domestic system, producing reports for the Senior Support Services Manager
  • Complete timesheets and associated salary/wage records accurately
  • Liaise with Domestic and Support Services Managers and other administrative colleagues
  • Process and distribute incoming mail
  • Record staff leave and update personnel files
  • Assist in compiling reports, drafting tables/forms, and collating departmental information
  • Prepare letters and reports for approval and signature
  • Order stock and non-stock items via e‑procurement, check deliveries, and receipt orders
  • Report faults and defects to Estates promptly
  • Assist in handling complaints in accordance with Trust policies
  • Maintain positive, professional working relationships across all staff disciplines
  • Undertake any other duties as required to support the smooth operation of the department

Essential Criteria

Qualifications

Either:

  • 4 GCSEs (Grades A–C) including English Language or equivalent/higher qualification and 1 year’s experience in a clerical/administrative role

OR

  • 2 years’ experience in a clerical/administrative role

Skills & Experience

  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Strong organisational, communication and interpersonal skills
  • Ability to manage workload efficiently and maintain accuracy
