Trust Homecare Administrative Assistant – Band 3
Location: Craigavon & Banbridge
Hours: 37.5 hours per week
Working Pattern: Monday to Sunday rota, with availability required between 7.00am and 5.00pm
Rate of pay £12.75 – £21.55 per hour depending on the shift worked
The Role
We are currently recruiting for a Trust Homecare Administrative Assistant to provide efficient and effective administrative support within the Trust Homecare team across the Craigavon and Banbridge locality.
This is a busy and varied administrative position that will involve maintaining staff records, coordinating Homecare Assistant rotas, processing payroll information and responding to queries from staff, service users and carers.
The successful candidate will need to be highly organised, confident communicating with a range of people and comfortable working within a fast-paced environment where priorities can change.
Key Responsibilities
Duties will include:
- Acting as a first point of contact for service users, carers, Homecare staff and other professionals.
- Maintaining accurate records of Homecare Assistant availability and matching availability against service schedules.
- Preparing and administering staff rotas, including arranging cover for annual leave, sickness, training and other absences.
- Contacting staff by telephone and electronic methods to assist with scheduling and changes to rotas.
- Arranging alternative cover when Homecare Assistants are unable to report for duty.
- Liaising closely with Homecare Supervisors regarding rota and scheduling requirements.
- Checking staff mileage against allocated duties for approval.
- Inputting payroll information and ensuring information is processed in line with required deadlines.
- Processing information relating to internal and external invoices.
- Maintaining accurate electronic and manual staff records and personal files.
- Inputting and extracting information using systems including Microsoft Excel and Access to assist with reports and statistical information.
- Assisting with Occupational Health appointments and relevant correspondence.
- Providing administrative support throughout staff recruitment and selection processes.
- Monitoring stationery and other stock requirements.
- Carrying out general administrative duties to support the effective running of the Homecare service.
Essential Criteria
Applicants must demonstrate:
- Experience using Microsoft Office, including Word and Excel, or equivalent packages.
- Availability to work between 7.00am and 5.00pm on a rota basis.
- 4 GCSEs at Grades A-C, including English Language and Maths, or an equivalent/higher qualification, plus at least 1 year’s experience in a clerical or administrative role;
OR
- At least 2 years’ experience in a clerical or administrative role.
- A full current driving licence valid for use in the UK and access to a car on appointment.
