Admin / Clerical Officer – Craigavon
Rate: £12.51 per hour
Hours: Monday – Friday, 9am – 5pm
Start Date: Immediate Start
Job Summary / Main Purpose
The postholder will provide an efficient and effective administrative support service. This includes filing, data entry, creation of Excel spreadsheets, scanning, photocopying and word processing as required. The role may also involve transporting files from the Hayshed to the Hospital Social Work Office using a trolley.
Main Duties / Responsibilities
The postholder will:
- Undertake a range of administrative support duties, including word processing, creating Excel spreadsheets, records management, filing patient records, scanning, photocopying, organising files according to categories, and managing disposal schedules.
- Co-ordinate and process various types of correspondence in line with agreed procedures.
- Manage incoming and outgoing mail, ensuring it is distributed or redirected to the correct staff members promptly.
- Maintain all manual and computerised systems accurately and in a timely manner, following local policies and procedures.
- Assist with the production and collation of statistics when required.
- Participate in quality assurance exercises if needed.
- Ensure all allocated work is completed within agreed performance standards.
- Maintain confidentiality regarding information held about service users and staff.
- Establish, maintain and develop effective working relationships with managers, staff at all levels, and members of the public.
- Carry out office duties in accordance with local policies and established procedures.
- Provide cover for other administrative staff during periods of planned or unplanned absence, including reception cover if required.
- Engage in regular liaison with the Line Manager/Team Leader to review and maintain effective administration systems suited to service needs.
- Perform any other duties that may arise in response to the needs of the service.
Essential Criteria
Option 1:
- 4 GCSEs (Grades A–C / 9–4), including English Language or equivalent, and experience working in an administrative role.
OR
Option 2:
- A minimum of 2 years’ experience working in an administrative role in a paid capacity, and
- GCSE English Language Grade C/4 or above (or equivalent).
