Are you a detail-oriented, organized, and motivated individual looking to kickstart your career as an Administrative Officer? If so, we have an exciting opportunity for you. We are currently seeking a dedicated individual to join our team in Armagh for a 51-week duration.

Job Title: Administrative Officer

Duration: 51 Weeks

Rate of Pay: £11.99 per hour

Start Date: ASAP – Must be fully registered to start

Location: Armagh

Hours: Monday to Friday, 9 am – 5 pm, 37 hours per week

Main Duties Include:

Grants and Funding:

  • Maintain, update, and enhance data on the Geographic Information System (GIS) and Customer Information System (CIS).
  • Process applications and inspection results for various agricultural schemes.
  • Handle Cattle and Sheep Identification Inspection results.
  • Process Agri-Environment Scheme applications and inspection results.
  • Handle various applications and requests related to farm business and planning services.
  • Assist in receipts processing and customer survey management.

Testing:

  • Process movement licenses.
  • Address discrepancies, I&R issues, and queries.
  • Handle movement-related issues.
  • Prioritize and manage the queue for TB/BR, including post-restrictions and de-restrictions.
  • Assist with TB/BR breakdowns and associated mapping.
  • Process valuation papers and send printpend letters.

Identification, Registration, and Movement:

  • Process movement licenses.
  • Manage MC1/MC2 queries.
  • Address discrepancies, I&R issues, and queries related to Investigations and Movement Issues.
  • Handle mart queries and illegal moves.
  • Manage Animal Group Numbers and applications for Isolation Facilities.

Customer Services Officer (Front Desk):

  • Provide information on services to customers via telephone or face-to-face interactions.
  • Action map edits on GIS.
  • Enter and retrieve data on CIS.
  • Receipt customer documentation.
  • Provide front-line cover on a rotational basis during busy periods.

NIDA (Northern Ireland Digital Assist):

  • Verify the identity of customers, including photo ID and other documents.
  • Ensure NIDA and CIS details match.
  • Address customer and agent queries and investigate faults.
  • Assist in creating NIDA customer accounts and provide digital assistance.
  • Update customer records on spreadsheets/HPRM.
  • Report faults through helpdesk and consultants.
  • Provide training and advice to colleagues.

Trade:

  • Monitor and process Export Health Certificates using the Export Certification Online system.
  • Address exporter queries and requests related to third country exports via DECOL.

Corporate Tasks:

  • Provide departmental services in line with Customer Service Standards.
  • Comply with performance management procedures.
  • Attend training and development sessions as required.
  • Comply with departmental policies and procedures.
  • Assist with corporate returns processing, including finance.
  • Manage the epizootic store.
  • Provide support for ad hoc exercises, such as information gathering and mail shots.
  • Handle post and courier duties, including sorting outgoing mail and distributing incoming mail.

Essential Criteria:

  • Possess 5 GCSEs at grades A-C, including Maths and English (Proof required at the time of application).
  • Undergo an AccessNI check as part of the application process.
