Monday – Friday 9am – 5pm
37.5 hour per week
£14.06 per hour
Are you organised, proactive and confident supporting senior managers? We’re recruiting an Admin Support Officer with Personal Assistant duties to provide high‑quality administrative, secretarial and organisational support to senior leaders within the Capital Development Department.
This is an excellent opportunity for someone with strong PA experience, excellent communication skills, and the ability to manage a busy, fast‑paced workload.
Key Responsibilities (Summary)
- Manage diaries for the Assistant Director and Department Heads, including arranging meetings and appointments.
- Provide full administrative support to the Capital Development Team, ensuring smooth day‑to‑day operations.
- Handle incoming correspondence, emails and information—prioritising, analysing and ensuring prompt follow‑up.
- Prepare meeting papers, presentations, briefings, reports and documentation.
- Service meetings: organise venues, prepare agendas, take accurate minutes and track follow‑up actions.
- Maintain efficient administrative systems including filing, record keeping and information management.
- Screen telephone calls, handle enquiries and redirect communications appropriately.
- Support the management and monitoring of departmental information systems.
- Order and maintain stationery and supplies via e‑procurement.
- Assist with general office duties including typing, photocopying, formatting documents and maintaining office organisation.
- Build strong working relationships with internal teams and external stakeholders.
- Provide flexible admin and PA support to ensure deadlines and departmental priorities are met.
Essential Criteria
Applicants must have:
Personal Assistant Experience (must include):
- Minute taking
- Diary management
- Servicing meetings
- Use of Microsoft Office applications (Teams, Word, Excel, PowerPoint, Access, Publisher)
PLUS one of the following qualification/experience routes:
Option A:
HND/HNC in a business‑related subject + 2 years’ PA experience
Option B:
5 GCSEs/O‑Levels (or equivalent) + 3 years’ PA experience
Option C:
5 years’ PA experience (no formal qualifications required)
