Job Duties
The primary role of the post is to maintain the records, collections and archives within the Historic Environment Record of Northern Ireland (HERoNI) and to make them accessible to colleagues within DFC, members of the public, researchers and local authorities. This is an office-based role, working hands-on with the archive and collections, and with a strong focus on responding to enquiries from the public. Main duties include:
- Responding to enquiries in HERONI’s inbox, in person, on the phone or in writing
- Ensuring enquiries are triaged and where possible answered and / or redirected to professional colleagues when their input is required.
- Log and track enquiries on the relevant spreadsheets updating inbox as appropriate.
- Process requests for access to HERoNI’s records, booking researchers into HERoNI’s reading room and making records available. Completing all tracking sheets and return of records to HERoNI’s stores.
- Adhering to HERoNI’s collection care policies to ensure ongoing care of the records.
- Provide support to HERoNI’s curatorial staff, cataloguing collections under their guidance.
- Manage record logs for HERoNI’s environmental conditions, including temperature and humidity, reporting any high readings to senior staff and/or premise management.
- Book purchases and liaison with NICS central librarians for the ongoing care of HERoNI’s library
- Inputting metadata into the Digital Asset Management System, for HRDB surveys.
- Provide support for HERoNI’s outreach events, liaising with the public, and key stakeholders.
- Process deliveries of conservation supplies and liaise with HED central finance.
- Record statistics for reporting to Senior management
- Scanning of material for addition to HERoNI, including documents, slides etc and saving to the appropriate database / DAMS etc
- Assisting with general duties related to the conservation and maintenance of HERoNI material including the relocation of HERoNI to new premises in the Belfast area in 2026.
- Other duties appropriate to the grade and HERoNI role as may occasionally arise
Essential Criteria:
- Must have 5 GCSEs including Maths & English – Certificates required
An Access NI will be required for this role
- A criminal record will not necessarily be a bar to obtaining a position.
