We have a fantastic opportunity for you to join our client, based in Belfast BT8 as a full-time Administration Officer. This is a long-term temporary opportunity.

Administrator Pay Rate: £13.75 per hour

Administrator hours of work:

  •  9 to 5 Monday to Friday

Job Duties: 

The AO Procurement/contracts officer will be responsible for sourcing, negotiation and management of small to mid-value DVA goods and service of a procurement plan, reflecting the commercial and business objectives of DVA and the sound operation of DVA Test Centres and business areas.

The post holder will be expected to –

Work with procurement customers to define needs.
Search for new suppliers via phone, web, email and face to face meetings
Negotiate prices and contracts with suppliers
Check costs and process orders through Account NI
Monitor DVA spend on low to mid value procurement contracts
Contribute to weekly/monthly management reports
Communicate with procurement customers over the phone, by email and through face to face contact.

Main duties of the post are:
• Process and manage competing procurement requests from the Procurement Inbox on a daily basis in line with DVA business need and priorities;
• Liaise with procurement customers on a daily basis over the phone, by email and through face to face meetings;
• Develop tender documentation as and when needed;
• Arrange and award contracts for goods and services according to CPD/DFI Procurement guidelines;
• Monitor all aspects of supplier performance and highlight areas of non-compliance to line management and keep accurate records;
• Order forms, certificates and consumables for DVA Test Centres on a rolling basis to ensure business continuity;
• Deal with customer/supplier complaints;
• Ensure that all government call off contracts are used where necessary and maintain contact with Central Procurement Directorate;
• Process all contract/procurement requisitions through Account NI;
• Provide regular information on types of items purchased and expenditure as and when requested;
• Update and maintain adequate records including Excel spreadsheets for subsequent review by internal or external review bodies;
• Record Management – Use of the Content Manager application to store and save documents in line with business procedures.
• Agree performance targets in line with any financial targets set by the Agency;
• Assist in the training and development of new staff within the Unit;
• Assist with the daily administrative functions for the Procurement & Governance Team; the general maintenance of records and admin
• Any other duties appropriate to the grade based on emerging business need across Contract Management and Procurement Unit.

Essential Criteria: 

Must have 5 GCSEs including Maths & English – Certificates required.
