The Recruitment Co are currently working with the Belfast Trust in recruiting for a Band 3 Administrative officer.
Job Summary / Main Purpose
To provide typing and administrative support to Student Mental Health. You will be based in Lennoxvale based at Queens.
Main Duties / Responsibilities
Administration
- Be responsible for typing and circulation of correspondence, to include emails, letters, reports, forms, invitations, minutes, untoward incidents.
- Keep record of and report all building faults to Belfast Trust estates.
- Note taking at meetings as required.
- File all letters, memos, and reports on a daily basis.
- Efficiently organise and maintain record and information systems and backup systems utilised to ensure up to date information is recorded on files.
- Update staff personnel records as required.
- Manage electronic diary to include room bookings for training and meetings.
- Assist in the Preparation and collation of statistical information.
- Assist with booking appointments for Student Mental Health Clients
- Photocopy and scan as required.
- Ensure all incoming mail is opened and recorded appropriately.
- Provide cover for other Administrative Assistant team members to cope with workload variation and providing cover for switchboard.
- Audio Typing and Word processing if required.
- Access e-procurement as necessary to ensure sufficient office supplies

Qualifications /Registration /Experience
4 GCSE’s including English Language (Grades A-C /9-4) or equivalent AND one years’ administrative experience.
OR
NVQ Level II in Administration AND one years’ administrative experience.
OR
Have two years’ administrative experience. OCR Stage II Text Processing (Part 1) AND OCR Stage II Typing / Word Processing
OR
Have evidence of one years’ typing/word processing experience and can demonstrate
a capable level of ability.
Experience of working within mental health services and communicating with clients who are experiencing mental health difficulties.
