Job Title: Administrative Officer
Location: Tollymore, Newcastle County Down
Start Date: ASAP
Duration: 9-12 Months
Hours of Work: 0830-1700 Mon – Thu. 0830-1630 Fri, 37 Hours per week
Rate of Pay: £11.99 per hour
We are currently seeking a dedicated and efficient Administrative Officer to join our team at Tollymore, located in Newcastle County Down. The successful candidate will play a crucial role in ensuring the smooth operation of administrative functions while providing excellent front-of-house service to our visitors.
Main Duties:
Front of House:
- Serve as the primary point of contact at Reception, handling inquiries in-person, over the phone, and via email promptly and courteously.
- Process climbing wall and pool entries efficiently, utilizing the till and credit card machine for payments.
- Manage electronic key/security fob system and monitor CCTV system to ensure safety and security.
- Handle messages, deliveries, and visitor needs promptly and effectively.
Administrative Duties:
- Process course bookings promptly using Priava or similar software, ensuring accuracy and efficiency.
- Provide information and documentation such as course letters, parental consent forms, and health declaration forms.
- Cash up the till at the end of each shift and process payments through Worldpay as required.
- Administer Centre email accounts, prioritizing and processing information effectively.
- Liaise with other Centre admin, instructional, and finance staff to ensure seamless operations.
- Assist with annual Climbing Wall payments and maintain awareness of Centre booking levels.
- Manage incoming mail, sorting and distributing as necessary.
- Provide administrative support to other staff members as required.
Health, Safety, and Wellbeing:
- Ensure all visitors are aware of and adhere to health & safety requirements and protocols.
Other Duties:
- Maintain a high standard of cleanliness and personal presentation.
- Attend meetings as required and assist with additional administrative duties as necessary.
- Fulfill any other duties assigned by management.
Essential Criteria:
- 5 GCSEs including Maths & English graded A to C or the level 2 equivalent (Must supply evidence).
- Successful candidate will be subject to an Access NI check.
Desirable Criteria/Experience:
- Experience of cash handling.
- Experience of working in a customer-facing environment, delivering excellent customer service.
- Experience of dealing with enquiries.
- Knowledge and experience of using a range of software programs, including Microsoft Word, Outlook, and Excel.
- Experience of processing payments and bookings.
- Experience of working in a customer-facing administrative role in a hotel or similar facility.
