MAIN DUTIES AND RESPONSIBILITIES


– In collaboration with the EWTS Regional Coordinator, undertake agreed work allocation in line with the Programme plans and aims as directed.


– Provide support to the work programmes by undertaking research and sourcing information on best practice.


– Draft Project Presentations using Microsoft PowerPoint, and other communication materials.


– Work with the EWTS teams in HSCTs to ensure all implementation activities are carried out in accordance with the agreed Plan.


– Assist the EWTS Regional Coordinator in the preparation and delivery of the programme deliverables ensuring all outputs are delivered within pre-defined costs and timescales.


– Provide the EWTS Regional Coordinator with a range of standardised project management reports in a timely and consistent manner, for example, progress toward implementation milestones, state of readiness and risks/issues that need to be addressed.


To provide administrative support as required including administration of meetings, preparation of documents, office management duties, communication, organisation and minutes as required.

– Update Programme plans and participate in the implementation and coordination of plans as required, and work proactively to avoid duplication of activity and resource.


– Provide support as required to work stream teams within the Programme and work stream managers ensuring that progress is enabled in line with the agreed programme/work stream plans.


– Maintain up to date distribution lists, files and communication directories.

General Responsibilities

The post holder will be required to:

– Travel regularly between HSCB and other sites with limited time between meetings.

– Review individually, at least annually, the performance of personnel reporting to them, provide guidance on personal development requirements and advise and Initiate, where appropriate, further training.

– Ensure that the review of performance identified above is carried out for all levels of staff for whom he/she has management authority;

– Maintain staff relationships and morale among the staff reporting to him/her

– Review the organisation plan and the establishment level of the service for which he/she is responsible, to ensure that each is consistent with achieving objectives and recommend change where appropriate;

– Delegate appropriate responsibility and authority to the level of staff within his/her control, consistent with effective decision making, while retain overall responsibility and accountability for results;

– Participate, as required, in the selection and appointment of staff reporting to him/her in accordance with procedures laid down and approved by the DoH.

– Take such action as may be necessary in disciplinary matters in accordance with procedures laid down and approved by the DoH;

– Ensure Health and Safety Regulations are adhered to and staff reporting to him/her are fully conversant with the Regulations

– To deputise for senior staff when required

Qualifications/ Registration

1a. Applicants must possess a university degree or equivalent professional qualification AND
Shortlisting by Application Form

Experience

At least 12 months experience, within a service improvement, communications or project management role within a health or social care environment

OR

1b. Have a minimum of 4 years’ experience, which should include recent experience within a service improvement, communications or project management role within a health or social care environment

2. Excellent working knowledge and competency in use of information technology within an office environment, including MS Word and MS Excel.

Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment. These criteria will be waived in the case of applicants whose disability prohibits driving but who have access to a form of transport approved by The Organisation which will permit them to carry out the duties of the post.
