We are currently recruiting for an Executive officer 1 based in Belfast. The successful candidates will be required to start once the vetting paperwork, ANI clearance has been completed.

Start date: ASAP

Duration: 12 Months with a possibility of extension

Rate of pay: £17.43

Hours of work: Monday – Friday – hours between 8am and 5pm (37 hours per week)

Key Responsibilities:

Oversee an effective, proactive, timely and accurate daily media monitoring service
• Monitor press office inbox as required, to include forwarding of email to press officer as needed and filing of emails with Outlook and CM as appropriate
• Work with press officers to ensure all media queries and submissions are processed within deadlines, fast-tracking urgent and priority tasks
• Provide support to press and social media officers including procurement of photography or other communication services
• Oversee production of rolling monthly planner and integrated planner, co-ordinating with departmental colleagues as required
• Manage and oversee Press Office Finance including completion of financial returns such as Budget Allocations, Accruals and Prepayments
• Hold responsibility as a Content Manager Power User for the maintenance of branch file plans, requesting and opening new containers yearly and as required throughout the year
• Manage the scheduling and issue of Departmental press releases to media via Knowledge Network and on the DfC website via Drupal, ensure correct formatting
• Ensure all papers are recorded and saved/file in accordance with branch and Departmental requirements and in line with GDPR requirements.
• Complete all governance and other returns for the branch
• Ensure the confidentiality, integrity and availability of Departmental records in accordance with GDPR and the Information Assurance Framework
• Provide support to the press team as required to contribute to meeting the objectives of the team
• Identify and implement opportunities for process improvement on a continuous basis
• Manage the administration team (three part-time AOs), providing leadership, development, managing performance and all other line management functions
• Any other duties appropriate to the grade

Essential Criteria applicants must have:

Proof of 5 GCSEs including English and Maths grade C or above or the equivalent and 3 A-levels

· Strong organisational and administrative skills.

Access to a vehicle/form of transport as will be required to undertake in person meetings with and observation visits with Funded groups across the province (some of these areas will be rural and not on public transport routes).
