Position: Executive Officer (EO2)

Pay Rate: £15.83 per hour

Hours: Full time, 37 hours per week. Monday to Friday – we operate flexi-time but team generally work between 8 and 5.

Duration: Up to 12 months

Start Date: ASAP

Location: Based in our Belfast office: Invest Northern Ireland,

Bedford Square, Bedford Street, Belfast BT2 7ES (Hybrid working – 2 days per week in the office)

 


Job Duties:

  • Based in our HQ office: Invest Northern Ireland, Bedford Square, Bedford Street, Belfast, BT2 7ES.
  • Managing and co-ordinating relevant information effectively through Invest NI’s electronic and manual information management systems;
  • Using IT packages for timely and accurate collation and analysis of data for input into presentations, briefs and reports;
  • Ensuring effective allocation of resources and prioritisation of work across the team as appropriate;
  • Contributing to divisional projects aimed at improving service delivery or operational efficiency;
  • Ensuring effective customer service through the provision of advice and information to internal/external customers;
  • Drafting written communications for internal and external use;
  • Planning and co-ordinating recruitment competitiojns and staff movement processes
  • The HR Employee Support team provides a range of support to the HR Business Partners and HR Management. These activities range from salary processing, minute taking, producing reports and other ad-hoc activities.
  • Demonstrate an ability to preserve confidentiality, maintaining a professional approach when dealing with sensitive cases or high profile clients and employing tact or diplomacy when required.

 


Essential Criteria:

  1. 5 GCSEs/O Levels at Grades A-C (or equivalent qualifications*) including English Language AND 1 year’s recent relevant experience in an administrative role providing evidence of this experience in all of the following key areas:
  2. Producing a range of high level administrative work.
  3. The proficient use of word processing, spreadsheet and email IT packages in order to prepare formal and professional documents in a work context.
  4. The provision of accurate information in a professional manner in order to deliver high quality customer service.

OR

  1. 2 years’ recent relevant experience in an administrative role, providing evidence of this experience in all of the following key areas:
  2. Producing a range of high level administrative work.
  3. The proficient use of word processing, spreadsheet and email IT packages in order to prepare formal and professional documents in a work context.
  4. The provision of accurate information in a professional manner in order to deliver high quality customer service.

AND

  1. The ability to manage and co-ordinate multiple tasks to tight deadlines whilst ensuring compliance with quality standards.
  2. The ability to maintain good working relationships and work effectively as part of a team in order to contribute to the achievement of goals.

 


Desired Criteria:

Previous experience working in HR environment
