Position: Executive Officer – Business Assurance (CEA)

Pay Rate: £15.83 per hour

Hours: Full time, 36.25 hours per week, Monday to Thursday 9.00 am to 5.00 pm and Friday 9.00 am to 4.35 pm

Duration: 28/02/2027

Start Date: ASAP

Job Duties:

The Executive Officer (Business Assurance) will carry a broad range of key operational and administrative responsibilities within the Business Assurance Team. All activities of the post-holder will support the achievement of Team, Business Unit and Corporate objectives.

Key corporate responsibilities:

  • To contribute fully, at the appropriate level, to the operations of the relevant Business Unit in order to achieve the objectives of CCEA’s Corporate and Operational Plans.
  • To contribute fully, at the appropriate level, within the relevant Business Unit to CCEA’s:
    (i) accountability and performance management framework;
    (ii) risk management framework;
    (iii) quality management framework; and
    (iv) communications management framework.
    The post-holder will ensure the compliance of self and, where appropriate, others with these frameworks such that they support the achievement of CCEA’s Corporate and Operational objectives.
  • To assist the relevant line management, Assistant Director, Director and Executive Team in supporting the functions and responsibilities of CCEA and all
    of its committees.
  • To ensure that CCEA secures value for money from the resources available to it.
  • To ensure, as appropriate to the level of the post, that CCEA operates an effective and transparent system of decision-making which includes a robust
    challenge function at all levels.
  • To contribute fully, as consistent with the scope of this role, to the full range of the Business Unit’s work in relation to business improvement models including
    ISO and IiP, taking ownership, where applicable, for formal documentation, policies, practices, procedures, records, reports and statistical information. The post-holder will be required to identify measures and targets to develop meaningful approaches to benchmarking consistent with a culture of continuous improvement
  • To be responsible for maintaining CCEA records in accordance with the ISO Overview Procedure and to become familiar with records management practices and the implication of the Freedom of Information (FoI) and Data Protection (DP) Acts and the General Data Protection Regulation.
  • To contribute to the effective discharge of the Section 75 duties in line with CCEA’s Equality Scheme.
  • To carry out any other duties, falling reasonably within the competence and capability of the post-holder, to support the achievement of CCEA’s objectives as directed by line management, Assistant Directors and Executive Team.

Key accountabilities: 
The post-holder will:

  • Request, monitor and analyse quarterly updates from managers against CCEA’s operational plan;
  •  Provide administrative support regarding data protection/GDPR requests and freedom of information requests including monitoring requests to ensure legislative timescales are met; escalating when necessary;
  • Notify and monitor the updates of ISO procedures on a monthly basis and provide status reports to the Senior Executive Officer;
  • Using the policies spreadsheet, monitor the ongoing update of policies across CCEA to ensure all policies are reviewed every three years;
  • Support the Senior Executive Officer in the arrangements for ISO surveillance visits;
  • Support the Senior Executive Officer in following up on the progress and completion of ISO procedure and process audits to ensure actions are completed within agreed timescales;
  • Update statistics on environmental data and producing reports to monitor trends for the Senior Executive Officer;
  • Gather information to enable the Senior Executive Officer to draft papers for ISO Management Review;
  • Update the Environmental Legislative Compliance spreadsheet in conjunction with the Senior Executive Officer to ensure CCEA’s ongoing compliance with legislation;
  • Maintain the Register of Gifts and Hospitality

 


Essential Criteria:

Education:

  • Excellent literacy and numeracy skills as demonstrated by passes at GCSE in English Language and Mathematics (or equivalent)

Experience:

  • At least 1 year experience of providing high quality, timely and accurate administrative support
  • Experience of planning and managing work to achieve demanding deadlines
  • Experience of providing advice and support to internal and external customers
  • Experience of contributing to the development of procedures and practices in line with ISO requirements
  • Experience of effectively working as a team member and also independently to achieve team objectives
  • Experience of maintaining files and records to support work activities
  • Experience of working in a confidential environment and the ability to maintain confidentiality and act with discretion

Skills/Knowledge:

  • Demonstrable understanding of the role of Business Assurance
  • Excellent ICT skills, in particular using MS Excel, Adobe Acrobat, Outlook and Word packages

 

Desired Experience: 

  • Experience of auditing procedures/processes to ensure improvements are being mad
