Hours of Work: Monday to Friday, 9:00 AM to 5:00 PM
Rate of Pay: £14.50 Per Hour


Job Overview:

We are seeking a highly organized and detail-oriented Executive Officer to join our team at Castle Buildings in Belfast City Centre. This is a fast-paced role, contributing to response preparation for the UK Covid-19 Public Inquiry. The successful candidate will play a key role in ensuring the smooth operation of various administrative tasks and supporting the team in delivering critical outcomes.


Key Responsibilities:

  • Secretariat Role:
    • Taking accurate notes during meetings.
    • Assisting in arranging and hosting online and hybrid meetings, including issuing invites, distributing meeting papers, and tracking action points.
  • Disclosure Preparation:
    • Contributing to the preparation of disclosure documents, including indexing and creating document schedules.
    • Managing the upload of TEO disclosure to the UK Inquiry Team via Egress.
    • Recording and tracking uploaded documents accurately on a Covid Team Disclosure Tracker.
  • Processing Documentation:
    • Handling UK Covid Inquiry signed undertaking forms, forwarding them to the UK Inquiry Team, and maintaining an electronic tracker.
    • Ensuring all signed undertakings are saved correctly to Content Manager.
  • Tracker Maintenance:
    • Regularly updating team Covid Trackers related to disclosure and indexing.
  • Witness Preparation Support:
    • Assisting in the preparation of witnesses for the Covid Inquiry by gathering necessary materials for statements and responding to witness queries.
  • Exhibit Preparation:
    • Assisting in the preparation of exhibits for Corporate statements, including printing, checking indexes, and ensuring hard copies are accurately prepared.

Essential Criteria:

  • 5 GCSEs including Maths & English, graded A to C, or the level 2 equivalent.
  • 2 A-levels in separate subjects (evidence required).
  • Successful candidates will be subject to a Basic Access NI check.
