Position: Executive Officer (EO2)
Pay Rate: £15.83 per hour
Hours: Full-time (37 hours), Monday to Friday, 9:00am to 5:00pm
Duration: Up to 9 – 12 months
Start Date: ASAP
Location: Based in our North West Regional Office at Timber Quay, Strand Road, Derry~Londonderry, BT48 7NR
(in-office 4 days a week)
Job Duties:
- Based in our North West Regional Office at Timber Quay, Strand Road, Derry~Londonderry, BT48 7NR
- Act as a first point of contact for clients, stakeholders and visitors, providing a professional and welcoming service.
- Support the day-to-day operation of the Regional Office, helping to ensure an organised, efficient and customer-focused environment.
- Manage and maintain information through Invest NI’s electronic and manual information management systems.
- Use Microsoft Office and other IT systems to prepare reports, presentations, briefing papers and management information.
- Respond to enquiries and provide administrative support to internal and external customers.
- Assist with the planning and coordination of meetings, events, workshops and stakeholder engagements.
- Draft routine correspondence, communications and supporting documentation.
- Maintain accurate records, databases and filing systems.
- Provide administrative support to the wider team, including diary management, minute-taking, circulation of papers and meeting coordination.
- Contribute to projects and activities that support service delivery and operational effectiveness.
- Undertake other duties commensurate with the grade of the post.
Essential Criteria:
- 5 GCSEs/O Levels at Grades A-C (or equivalent qualifications*) including English Language AND 1 year’s recent relevant experience in an administrative or customer-facing role, providing evidence of experience in all of the following areas:
- Producing a range of high-quality administrative work.
- The proficient use of word processing, spreadsheet and email IT packages to prepare formal and professional documents in a work context.
Providing accurate information in a professional manner and delivering a high standard of customer service to internal and external customers.
OR
- 2 years’ recent relevant experience in an administrative or customer-facing role, providing evidence of experience in all of the following areas:
- Producing a range of high-quality administrative work.
- The proficient use of word processing, spreadsheet and email IT packages to prepare formal and professional documents in a work context.
- Providing accurate information in a professional manner and delivering a high standard of customer service to internal and external customers.
AND
- The ability to manage and co-ordinate multiple tasks and competing priorities to tight deadlines whilst maintaining accuracy and quality standards.
- The ability to build positive working relationships and work effectively as part of a team to support the achievement of business objectives.
*The successful applicant will be required to complete an Access NI during registration*
