We are currently seeking a temporary Full-time Governance Support Officer for our Public Sector Client in Armagh
This is a temporary ongoing role. The overall purpose of the post is to provide administrative support to the Information Governance Manager, Information Governance Officer and other senior staff within the Information Governance function for a range of activities and special projects relating to Information Governance.
The hours of work are Monday -Friday 9-5
Rate of pay £12.25 per hour.
Duties include but not limited to:
1.Ensure the efficient processing of documents, incoming mail/letters, distribution of mail/files/documents and answering phone queries.
2. Maintaining an up to date storage and filing system, entering data on risk management systems, responding to routine requests for information and generating standard reports.
3. Responsible for the recording of all governance related invoices, attaching relevant Purchase Order, entering data onto system and forwarding to Governance/Assistant Governance Manager for funding allocation and approval.
4. Assist senior Governance staff in managing the Procedure for the reporting and follow up of Serious Adverse Incidents.
5. Planning, co-ordinating and arranging conferences/workshops or training events and maintaining appropriate records.
6. Assisting in organising senior governance staff work programmes and oversee the planning of the Assistant Governance Manager diary, work programme and
scheduling of meetings.
7. Servicing various working groups related to governance by preparing papers, reports, agendas, taking and transcribing formal minutes and following up action.
8. Undertake any other duties and projects as may be assigned from time to time.
Essential Criteria:
1a) GCSE Maths and GCSE English (A-C)
OR
equivalent qualification to demonstrate literacy and numeracy
OR higher qualifications AND 2 A Levels, equivalent qualification OR higher qualification AND 18 months’ relevant experience*
OR
1b) 3 years’ relevant experience.
(*Relevant experience is defined as experience in an office-based environment, minutes taking, filing, diary maintenance, making travel arrangements and using Microsoft Office packages including Word, Excel, PowerPoint and Outlook)
Experience of using computer systems and packages for:
- Word processing
- Managing emails
- Data input
- Extracting information to provide reports.
