We are recruiting a Higher Clerical Officer to join our client in Omagh.

Family & Childcare Team – Omagh
Working Hours: Monday – Friday, 9:00am – 5:00pm
Rate of Pay : £12.71 per hour
Immediate start – 1 month initially
Potential extension to 3–6 months for the right candidate

We are seeking a motivated and organised HCO to provide comprehensive admin support. This role requires excellent organisational skills, strong communication abilities and a high standard of administrative competence. Previous admin experience is essential for this fast paced role.

Main Duties & Responsibilities

  • Provide a full administrative support service to the team and associated professionals/departments
  • Arrange diary appointments, venues, travel arrangements and hospitality, including minute-taking when required
  • Support the effective organisation of the office through routine administrative duties, including:
    • Developing and maintaining efficient filing and brought-forward systems
    • Mail distribution, photocopying, binding and preparation of files for meetings
  • Manage incoming mail and correspondence, directing appropriately or drafting routine correspondence for signature
  • Facilitate effective communication by liaising with staff, departments, hospitals, the general public and external agencies
  • Handle telephone calls and enquiries, taking appropriate action as necessary
  • Type letters, memoranda and meeting minutes, requiring a high standard of word processing accuracy
  • Develop and maintain skills in Microsoft Office and other relevant software packages
  • Assist in the preparation of PowerPoint presentations
  • Provide administrative support in the production of departmental policies and statistical reports
  • Manage stationery stock levels using stock catalogues and requisitions
  • Update and search information on client databases (e.g. PARIS / Soscare)
  • Collect and collate statistical information on a regular basis
  • Operate a petty cash system in line with Trust Policy

Essential Criteria

Applicants must meet one of the following:

  • 5 GCSEs (Grades A–C) including English Language (or equivalent or higher qualification) AND
    1 year’s administrative/clerical experience

OR

  • NVQ Level II in Business & Administration (or equivalent) AND
    1 year’s administrative/clerical experience

OR

  • 3 years’ administrative/clerical experience
