Higher Clerical Officer (Radiology Department)

Location: Craigavon
Salary: £12.75 per hour
Hours: Monday to Friday, 9:00am to 5:00pm
Contract: Immediate start until 31 October 2026

About the Role

We are seeking an organised and professional Higher Clerical Officer to join the Radiology Department in Craigavon. The successful candidate will provide comprehensive administrative support within a busy healthcare environment, ensuring the efficient management of radiology appointments, patient information, and departmental systems.

This is an excellent opportunity for an experienced administrator with strong communication and IT skills who enjoys working in a fast-paced patient-focused setting.

Key Responsibilities

Patient Management

  • Operate departmental computer systems including Sectra RIS, PACS and Encompass, ensuring patient data is accurate, validated and maintained in line with departmental SOPs.
  • Add radiology paper and electronic requests to approval safety lists.
  • Monitor and action RIS safety lists, patient priorities, printing requirements and associated reports.
  • Handle telephone and face-to-face enquiries from patients, relatives, carers and healthcare professionals.
  • Schedule inpatient and outpatient radiology appointments across all modalities, including specialist examinations.
  • Contact patients by telephone or email to confirm appointments and minimise non-attendance.
  • Process DNAs (Did Not Attend) and CNAs (Cancelled Appointments) in accordance with established protocols.
  • Arrange interpreter services where required.
  • Book ambulance transport for patient appointments as necessary.
  • Escalate potential breaches of Trust access targets to the Service Administrator.
  • Process Medico-Legal, Litigation and Subject Access Requests within agreed timescales.
  • Support weekly multidisciplinary meetings by managing patient information and worklists.
  • Distribute authorised radiology reports to clinicians, hospital wards, Emergency Departments and external hospitals.
  • Carry out general administrative duties including photocopying, scanning and email correspondence.
  • Request patient records and x-rays from other hospitals when required.
  • Communicate effectively with staff, external agencies and members of the public.
  • Assist in the training of Band 2 clerical staff.
  • Work flexibly across Radiology Departments within the Trust and participate in evening and weekend rotas as required.
  • Report maintenance, repair and IT issues through relevant Trust systems.
  • Undertake any additional duties as directed by the Service Administrator.

Patient Information

  • Generate and distribute appointment letters in a timely manner.
  • Ensure appointment information leaflets accompany all relevant correspondence.
  • Retrieve patient information using the Radiology Information System (RIS) in accordance with departmental procedures.

Essential Criteria

Applicants must meet one of the following:

  • 4 GCSEs (Grades A-C), including English Language (or equivalent/higher qualification), plus 1 year’s experience in a clerical/administrative role, OR
  • 2 years’ experience in a clerical/administrative role.

In addition, applicants must have:

  • Experience using Microsoft Word.
  • A current full UK driving licence and access to a vehicle (reasonable adjustments will apply in line with disability requirements).
  • Flexibility to work across all Southern Trust Radiology sites.
  • Availability to participate in evening and weekend rotas as required.
