HR Administrative Officer

AO Scale: £26,449 – £28,094

Poisiton: Temp – ongoing

Rota:

Mon – Thurs: 9am – 5:30pm

Friday: 9am – 5pm

About the Role

Reporting to the HR Manager, the successful candidate will provide comprehensive clerical and administrative support to the HR & Corporate Services Department, ensuring the smooth day-to-day operation of HR services.

Key Responsibilities

The successful candidate will:

  • Provide administrative support to the HR team and wider organisation.
  • Assist with recruitment administration, including preparing documentation and maintaining records.
  • Monitor and record sickness absence, ensuring return-to-work interviews and associated paperwork are completed.
  • Input, update, and maintain HR data and records accurately.
  • Coordinate and maintain filing systems, both electronic and manual.
  • Support training and development activities through effective administration and record keeping.
  • Collate and monitor HR information using HR information systems, including PAMS.
  • Manage archiving and ensure HR records are maintained in accordance with organisational procedures.
  • Assist with the monitoring and recording of Fair Employment data.
  • Monitor probationary review processes and ensure reports are completed within agreed timescales.
  • Maintain stocks of office supplies and arrange replenishment when required.
  • Process invoices, purchase orders, and associated financial documentation in line with organisational procedures.
  • Undertake other duties appropriate to the grade as required.

Essential Criteria

Applicants must demonstrate:

Qualifications

  • 5 GCSEs at Grades A-C (or equivalent), including English Language and Mathematics.

Experience

  • A minimum of one year’s experience working in a similar administrative role within a Human Resources function.
  • Experience of administering HR processes and procedures.
  • Experience of working with confidential information and an understanding of data protection and information security requirements.

Skills and Knowledge

  • Proficiency in Microsoft Office applications, including Word, Outlook, and Excel.
  • Experience using HR management systems, such as PAMS.
  • Excellent written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.
  • Strong organisational skills with the ability to prioritise workloads and meet deadlines.
  • Ability to work effectively as part of a team and on your own initiative.
  • High levels of accuracy and attention to detail.
