About the Role
Reporting to the HR Manager, the successful candidate will provide comprehensive clerical and administrative support to the HR & Corporate Services Department, ensuring the smooth day-to-day operation of HR services.
Key Responsibilities
The successful candidate will:
- Provide administrative support to the HR team and wider organisation.
- Assist with recruitment administration, including preparing documentation and maintaining records.
- Monitor and record sickness absence, ensuring return-to-work interviews and associated paperwork are completed.
- Input, update, and maintain HR data and records accurately.
- Coordinate and maintain filing systems, both electronic and manual.
- Support training and development activities through effective administration and record keeping.
- Collate and monitor HR information using HR information systems, including PAMS.
- Manage archiving and ensure HR records are maintained in accordance with organisational procedures.
- Assist with the monitoring and recording of Fair Employment data.
- Monitor probationary review processes and ensure reports are completed within agreed timescales.
- Maintain stocks of office supplies and arrange replenishment when required.
- Process invoices, purchase orders, and associated financial documentation in line with organisational procedures.
- Undertake other duties appropriate to the grade as required.
Essential Criteria
Applicants must demonstrate:
Qualifications
- 5 GCSEs at Grades A-C (or equivalent), including English Language and Mathematics.
Experience
- A minimum of one year’s experience working in a similar administrative role within a Human Resources function.
- Experience of administering HR processes and procedures.
- Experience of working with confidential information and an understanding of data protection and information security requirements.
Skills and Knowledge
- Proficiency in Microsoft Office applications, including Word, Outlook, and Excel.
- Experience using HR management systems, such as PAMS.
- Excellent written and verbal communication skills, with the ability to interact professionally with stakeholders at all levels.
- Strong organisational skills with the ability to prioritise workloads and meet deadlines.
- Ability to work effectively as part of a team and on your own initiative.
- High levels of accuracy and attention to detail.
