We are currently recruiting an Office Administrator to join our client based in Lisburn (Altona), public sector client. This is a full‑time role, ideal for someone with strong administrative skills and experience in customer service, logistics, or purchasing environments.

Key Duties & Responsibilities

  • Operate a PC using multiple software packages and IT systems including Finance Procurement & Logistics (FPL), Wheelchair BEST, ELMS, Electronic Materials Management (EMM) and JDA Warehouse systems to support the delivery of the Community Wheelchair Service.
  • Liaise with healthcare professionals such as Occupational Therapists, District Nurses, and Physiotherapists to ensure system information is accurate and up to date.
  • Schedule wheelchair deliveries in conjunction with transport departments.
  • Deal with members of the public at the counter and via telephone in a courteous and timely manner.
  • Prepare Equipment Collection Dockets and liaise with clients to arrange uplift and return of equipment to the warehouse.
  • Proactively follow up on the return of equipment to ensure items are credited correctly.
  • Ensure filing of requisitions, delivery notes, collection notes, and related paperwork is completed daily.
  • Accurately record returned equipment on all relevant internal and external systems.
  • Investigate, resolve, and respond to customer queries.
  • Input non‑stock goods received notes onto the FPL system.
  • Action Customer Care Reports, including information requests, service issues, and product queries.
  • Assist with expediting stock orders to maintain continuity of supply.
  • Provide EMM services to assigned Trusts.
  • Support management with matters relating to the Community Equipment and Continence Service.
  • Assist with stock counts, stock catalogue management, and stock range reviews.
  • Accurately process stock and non‑stock requisitions in line with warehouse and delivery schedules.

    Essential Criteria

Applicants must meet the following requirements:

Experience

  • Minimum 12 months’ relevant experience in a customer service, purchasing, or logistics environment, with regular use of patient administration systems and order processing software.

Qualifications

  • Five GCSEs (Grades A*–C), including English Language and Mathematics, OR
  • An equivalent qualification demonstrating literacy and numeracy, OR
  • Higher-level qualifications.

IT Skills

  • At least 1 year’s experience using Microsoft Office, including Word, Excel, and Outlook (or equivalent).
