Our Public Sector Client currently seeks a Full-Time Temporary ongoing Team Secretary based in Craigavon or Armagh
This is an ongoing temporary position
Hours of work Mon-Fri (30 hours per week)
Rate of pay £11.11 per hour
Duties include:
- First point of contact for all patients and visitors both in person and on the
telephone, dealing with queries using own initiative and taking appropriate action.
- Deal sensitively with patients who can be distressed, either face to face or on the
telephone, in accordance with any customer service standards/agreed protocols.
Alert professional staff if someone presents as visibly unwell and who may
require urgent medical help.
- Answer all incoming calls and filter the calls through to the correct
extension/department. Accessing PAS and PARIS for patient’s appointment
details. Take messages and record in message book / email to staff, as required.
- Ensure at all times that patient’s demographic details, mobile numbers and GP
details are correct on PAS and PARIS and updating details accordingly.
- Liaise with Consultants, GPs, Patients, Carers and other professionals in order to carry out the duties of the post.
- Undertake a range of admin support duties such as photocopying, general filing,
typing, scanning and uploading to PARIS, making appointments on PARIS, running
“Model Office” schedule of reports into MS Excel format, filtering the MS Excel
Spreadsheets and updating PARIS records as appropriate, maintaining room
booking diary, receiving, processing and distributing incoming post and dealing
with outgoing post, retrieval of charts for clinics. Word processing clinic and other
material as required from audio tape.
Essential Criteria:
- 4 GCSEs at Grades A-C including English Language or equivalent / higher
qualification AND 1 years’ experience in a clerical / administrative role.
OR 2 years’ experience in a clerical / administrative role.
2.Experience in the use of Microsoft office products including Word, Excel and
Outlook.
