Administrative Services Officer
Location: Belfast
Directorate: Acute Planning and Performance
Contract: 3 months initially
Hours: 37.5 per week
£14.06 per hour
About the Role
Join a dynamic team providing essential business support to a leading health and social care organisation. As an Administrative Services Officer, you will play a key role in ensuring the efficient and effective delivery of administrative functions within your assigned team. This is an excellent opportunity to support senior managers, coordinate meetings and events, and contribute to high-quality service delivery.
Key Responsibilities
- Ensure all staff training within the team is completed.
- Maintain adherence to information governance procedures and policies.
- Develop and manage databases for business cases.
- Liaise with senior managers to coordinate responses to information requests.
- Establish and maintain effective communication systems.
- Organise and maintain secure filing systems (manual and electronic).
- Provide high-level support to working groups and cover staff absences.
- Plan and coordinate conferences, workshops, and events.
- Organise travel arrangements for senior staff.
- Undertake typing, word processing, and minute-taking duties.
- Support the production of official correspondence.
Essential Criteria
- 5 GCSEs (including Maths and English, grades A-C) and 18 months’ relevant admin/clerical experience OR 3 years’ relevant admin/clerical experience.
- 2 years’ experience in high-level word processing (report writing, spreadsheet maintenance, etc.).
- Excellent working knowledge of Microsoft PowerPoint, Word, Excel, and Outlook.
- Strong interpersonal, organisational, and time management skills.
- Ability to work under pressure, as part of a team, and on own initiative.
- Responsible attitude to sensitive and confidential information.
Desirable Criteria
- Experience in at least two of the following: maintaining filing systems, providing project support, supporting formal meetings (including minute-taking), or drafting documentation/correspondence.
