Essential Criteria (Shortlisting Stage)
Applicants must demonstrate one of the following:
- 4 GCSEs (Grades A-C), including English Language (or equivalent qualification), plus 1 year’s administrative/clerical experience; or
- NVQ Level 2 in Administration (or equivalent qualification), plus 1 year’s administrative/clerical experience; or
- 2 years’ administrative/clerical experience.
In addition, applicants must have:
- At least 1 year’s word processing experience.
- Experience using Microsoft Office applications, including:
- Microsoft Word
- Microsoft Excel
- Microsoft Outlook
Essential Criteria
Applicants must be able to demonstrate:

- Strong organisational skills with the ability to prioritise workload.
- Effective verbal and written communication skills.
- Ability to work in a challenging and changing environment.
- High level of accuracy and attention to detail.
- Experience using office administration systems, including diary management and filing systems.
- Knowledge of the Data Protection Act.
Duties
- Managing patient appointments, bookings, and clinic schedules.
- Welcoming patients and handling enquiries in person, by phone, and by email.
- Maintaining accurate patient records and updating healthcare databases.
- Processing referrals, test results, and clinical correspondence.
- Supporting doctors, nurses, and other healthcare professionals with administrative tasks.
- Preparing clinic documentation, reports, and meeting notes.
- Handling confidential medical information in line with GDPR and data protection policies.
- Coordinating with hospitals, GP practices, and external healthcare providers.
- Processing prescriptions, invoices, and other healthcare-related paperwork where required.
- Ensuring medical records, filing systems, and administrative processes are up to date and compliant.
- Assisting with patient admissions, discharges, and follow-up appointments.
- Managing office supplies and general day-to-day administrative duties.
Desirable Criteria
- Experience of using computerised databases.
