The Recruitment Co are currently working with the Belfast Trust to recruit for a Band 2 Clerical Officer based in Musgrave Hospital.

Job Summary / Main Purpose

The post holder will provide typing and administrative support to the Orthopaedic Ward and to undertake administrative duties as directed by Team Lead.

Main Duties / Responsibilities
Retrieve and track patient case notes and X-ray/test results from the filing room, other offices and other hospitals as required.

  • Answering telephone and taking messages and enquiries from GP’s, patients and other health service staff, and action when appropriate.
  • File and maintain records in accordance with Trust policies and procedures
  • Printing and photocopying correspondence and other documentation as directed.
  • Checking stock levels e.g. stationery, booklets and leaflets and ensuring more supplies are ordered if required
  • Preparation of charts for ward rounds, file investigations, amalgamate old notes.
  • Collect patient charts, process charts to admin staff for dictation of letters.
  • Ensure all patients to ward are admitted and discharged accurately on PAS/Patient Centre.
  • District Nurse Referrals.
  • Bed Stats.
  • Ordering of transport.
  • Ensure supplies of admission packs are maintained.
  • Liaise with other medical records staff and staff in other departments.
  • Any other duties assigned from time to time.

Essential Criteria:

  • 4 GCSEs at Grades C or above (to include English Language) or equivalent and
  • 1 years’ experience in a clerical / administrative role.
  • Experience in the use of at least one
  • Microsoft office product or equivalent.
  • Ability to work as part of a Team.
  • Ability to use own initiative.
  • Good organisational skills with an ability to prioritise own workload.
  • Effective Communications skills to meet the needs of the post in full.
