Executive Assistant

Location: Belfast (BT8)
Hours: 37.5 hours per week
Working Hours: Monday to Thursday 9:00am – 5:00pm, Friday 8:30am – 4:30pm
Contract: Temporary (up to 3 months, immediate start available)
Rate of Pay: £14.06 per hour

The Opportunity

We are currently recruiting for an experienced and highly organised Executive Assistant to provide comprehensive support to senior executives within a large public sector organisation in Belfast.

This is an excellent opportunity for a professional administrator who thrives in a fast-paced environment and enjoys working closely with senior leadership. The successful candidate will play a pivotal role in ensuring the smooth operation of executive functions, managing key stakeholder relationships, coordinating senior management meetings, and handling highly confidential information with discretion and professionalism.

Key Responsibilities

  • Provide proactive executive support to senior leaders.
  • Manage complex and confidential correspondence, communications and information.
  • Act as a key liaison between senior management, internal teams and external stakeholders.
  • Coordinate diaries, meetings and schedules, ensuring efficient management of priorities.
  • Organise and service senior management meetings, including agenda preparation, minute taking and follow-up actions.
  • Prepare reports, presentations, briefing papers and other documentation.
  • Assist with business cases, governance documentation and strategic projects.
  • Monitor and track actions arising from meetings and corporate workstreams.
  • Support the development and maintenance of administrative systems and processes.
  • Coordinate travel arrangements and associated administration.
  • Maintain records and documentation in accordance with organisational policies and procedures.

Essential Criteria

Applicants must demonstrate:

  • GCSE English and Maths (or equivalent) and A Levels (or equivalent), together with at least 18 months’ relevant administrative experience;

OR

  • A minimum of 3 years’ relevant administrative experience.

Relevant experience should include duties such as:

  • Preparing correspondence and reports.
  • Maintaining systems and databases.
  • Communicating with stakeholders.
  • Providing administrative support within an office environment.

In addition, applicants must have:

  • Strong IT skills, including Microsoft Word, Excel and PowerPoint.
  • Excellent organisational and time management abilities.
  • The ability to prioritise workloads and meet deadlines.
  • Strong attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • A full UK driving licence and access to transport (subject to reasonable adjustments).

Desirable Criteria

  • Experience coordinating events.
  • Experience providing administrative support to committees.
  • Minute-taking experience.
  • Financial administration experience, including processing invoices and payments
