MAIN PURPOSE OF THE JOB
The main purpose of the Receptionist/Clerical Support role is to provide a courteous and efficient reception service to the general public and offer routine clerical assistance to the Office Administrator.

MAIN DUTIES AND RESPONSIBILITIES

Service Delivery

  • Provide courteous, efficient, and effective reception service aligned with the Centre’s quality service objectives.
  • Implement emergency procedures such as medical, fire alarm, pool alarm, etc., following Centre’s procedures.
  • Control and monitor lighting for various areas within the leisure Centre.
  • Operate computerized bookings and point of sale systems, issuing relevant tickets to users.
  • Process refunds and complementary vouchers as needed.
  • Manage daily facilities cash, cheques, visa transactions, and complete appropriate documentation.
  • Prepare and balance till floats according to center procedures.
  • Provide information about leisure center activities and facilities.
  • Control ticket sales for special events and issue tickets.
  • Promote Council-wide services and provide relevant information.
  • Operate switchboard, promptly answering calls and amending voicemail messages.
  • Use the public address system effectively.
  • Maintain high customer care standards, addressing queries and complaints.
  • Manage lost property and valuables following procedures.
  • Process switch and credit card transactions following best practices.
  • Manage equipment hire deposits and safe return.
  • Follow policies for the safe use of swimming pools and manage entry.
  • Control entry of non-payers and undesirables.
  • Record visitor/contractor entries and exits.
  • Ensure customer data privacy.
  • Handle enquiries regarding center-based courses, classes, and activity schemes.
  • Promote Profiles and Leisure Centre membership packages.

Essential Criteria

Qualifications and Experience

Applicants must have:

  • GCSE Maths and English Language (Grade C or above).
  • Six months clerical experience in a customer-focused environment.
  • A minimum of 6 months’ experience of using Microsoft Office.
  • OR candidates with 4 years’ relevant experience in a similar role.
  • RSA Stage II (Parts 1 and 2) Word processing or equivalent.
