Business Support Services Administrator
Lisburn
£15.38 per hour
Summary of Responsibilities:
Business Support Activities:
1. Provide an effective reception and switchboard service, acting as first point of contact for callers and visitors to Headquarters providing advice, assistance and directions as necessary
2. Manage general telephone enquiries efficiently and professionally, signposting enquirers to appropriate contacts or providing advice and information as appropriate.
3. Monitor general enquiries received through the enquiries electronic mailbox and draft responses as necessary or refer on as appropriate in a timely manner.
4. Control of access in and out of the main Headquarters building and car park, including maintaining visitor’s logs and issuing of visitor badges and the management and distribution of ID passes for all personnel
General Responsibilities:
26. Prepare appropriate business cases, tenders and quotations, in line with financial and procurement regulations, policies and procedures and corporate timescales.
27. Proactively ensure continued positive and effective working relationships with key internal and external stakeholders.
28. Maintain an up-to-date knowledge of developments across the organisation to enhance internal and external customer service
Criteria
1. Possess at least 5 GCSEs at Grade C or above, or equivalent, to include English and Maths
AND
Have at least 2 years’ experience of working in a demanding office environment, carrying out a range of business support tasks including scheduling and administrative support for meetings.
2. Demonstrate a working knowledge of Windows and Microsoft applications, to include, Word, Excel, and Outlook.
Can demonstrate:
> Effective planning, organisation, prioritising skills and attention to detail;
> Ability to work individually and as part of a team;
> Effective Communication skills (both written and oral):
> An ability to produce timely and accurate information
