Trust Home Care Administrative Assistant (Band 3)
Directorate: Adult Community Services
Hours: 37.5 hours per week
Contract: Full-Time
About the Role
We are seeking a highly organised and proactive Trust Home Care Administrative Assistant to join our Adult Community Services team based at Mullinure Health & Wellbeing Centre.
This is a busy and rewarding administrative role supporting the Trust Home Care Service. You will play a key role in maintaining staff rotas, coordinating cover arrangements, supporting payroll processes, and acting as a first point of contact for service users, carers, and staff. The successful candidate will be an excellent communicator with strong organisational skills and the ability to work effectively in a fast-paced environment.
Key Responsibilities
- Provide administrative support to the Trust Home Care team.
- Act as the first point of contact for service users, carers, Trust staff, and healthcare professionals.
- Maintain Home Care Assistant availability and coordinate staffing requirements.
- Administer and update staff rotas using Comcare software.
- Arrange cover for annual leave, sickness absence, training, and other staffing changes.
- Liaise closely with Home Care Supervisors regarding rota issues and workforce planning.
- Process payroll information accurately and within required deadlines.
- Verify staff mileage claims against allocated duties.
- Maintain staff records and personnel files.
- Arrange Occupational Health appointments and issue correspondence.
- Produce reports using systems such as Comcare, SOSCARE, Access, and Excel.
- Assist with recruitment and onboarding administration.
- Maintain stock levels and order stationery supplies as required.
- Support the collection and reporting of statistical information.
Essential Criteria
Applicants must meet the following requirements:
Qualifications & Experience
- 4 GCSEs (Grades A-C) including English Language and Maths (or equivalent) and at least 1 year’s experience in a clerical/administrative role; OR
- 2 years’ experience in a clerical/administrative role.
Skills & Knowledge
- Experience using Microsoft Office applications, particularly Word and Excel.
- Strong organisational skills with the ability to prioritise workload effectively.
- Excellent communication and customer service skills.
- Ability to work independently and as part of a team.
Additional Requirements
- Available to work between 7:00am and 5:00pm on a rota basis.
- Hold a full current UK driving licence and have access to a vehicle.
