We are seeking an organised and motivated Trust Home Care Administrative Assistant to provide vital administrative support to our busy Home Care Service. This is an excellent opportunity for someone with strong administration skills who enjoys working in a fast-paced environment and making a real difference to the delivery of care services within the community.
About the Role
As a Trust Home Care Administrative Assistant, you will play a key role in supporting the efficient day-to-day operation of the Home Care service. You will maintain staff rotas, liaise with Home Care Assistants, service users and carers, and ensure accurate records are maintained across a range of systems.
Telephone communication is a significant part of this role, as you will regularly contact staff to arrange cover for shifts and keep clients informed of any changes to their care schedules.
Main Duties
- Act as the first point of contact for service users, carers and staff regarding Home Care service enquiries.
- Maintain Home Care Assistant availability records and allocate work accordingly.
- Administer staff rotas, including annual leave, sickness absence and training cover.
- Arrange alternative staff cover when required.
- Support Home Care Supervisors with rota management and operational planning.
- Process payroll information accurately and within deadlines.
- Monitor and verify staff mileage claims.
- Arrange Occupational Health appointments and issue relevant correspondence.
- Maintain staff records and personnel files.
- Produce reports using systems such as Comcare, Access and Excel.
- Assist with recruitment and selection administration.
- Monitor and order office stationery and supplies.
- Collate and prepare statistical information and management reports.
Essential Criteria
Applicants must have:
- Experience using Microsoft Office applications, including Word and Excel.
- Availability to work between 7:00am and 5:00pm on a rota basis.
- Either:
- 4 GCSEs (Grades A-C) including English Language and Maths, plus 1 year’s administrative or clerical experience, or
- 2 years’ administrative or clerical experience.
- A full current UK driving licence and access to a vehicle.
